Three Steps for Customizing GoCodes for Optimal Asset Management
You have a number of easy to use tools that enable you to quickly customize GoCodes to your organization's needs. They are:
- Adding custom data fields
- Adding custom pick lists (to built in fields and custom fields)
- Hiding unused data fields (built in fields)
We will quickly run through each of these powerful options and how to use them.
1. Adding Custom Data Fields
The GoCodes cloud-based web-app allow the Administrator Role to add up to 10 additional custom data fields to the data that is tracked for each asset in the database. The data fields can be given any name and can contain any data. The custom data is optional for each asset.
To add custom data fields, simply go to the Profile & Settings menu and select the 'Setup custom field name' option. From there you can enter the field names for your custom data fields.
Tip: We strongly recommend that you use existing GoCodes data fields where possible, even if the name is slightly different than your preferred name. Some existing fields have special features and it will enable you to take advantage of them.
Once you click Update, you will be able to see your custom data field in the screen for each asset on the cloud-based web software, HTML mobile app, native iPhone app and Android app.
2. Adding Custom Pick Lists
You can configure custom pick lists or drop-down menus for most data fields including custom data fields. For example, say your organization has 4 offices and assets are assigned to staff at one of the four locations. This location information is best tracked using the 'Home Location' data field. In this case, simply go to the Profile & Settings menu and select 'Setup allowed values for built-in data fields'. You will then see a list of the built in data fields and a text area where you can enter the list of allowed values. In this case, just enter the four names of the Home Locations you wish to use.
You can also add these drop-down menus to any custom fields you have added.
3. Hiding Unused Data Fields (Web-App / iPhone App)
Most customer only need to use a subset of the full range of data fields that come with GoCodes. To help improve usability and enhance data quality, The Administrator can hide data fields that are not needed. This can be done permanently of even on a temporary basis.
Just go to the Profile & Settings area and click 'Setup updatable fields'. There you can check/uncheck any fields that you don't need to see when updating assets. When this change is made in the web-app, it's automatically applied to all users and includes the HTML mobile apps as well.
In addition, the native iPhone app allows users to selectively hide data fields based on their personal needs. This is in addition to the settings which the administrator may have applied. Simply click on the 'Setting' link on the home page once you have logged in.
Tip: The GoCodes web-app and native iPhone app are designed to hide data fields that contain no date in the asset view screens. The intention is to avoid showing you blank data fields. The data fields are visible when you click to update (unless you have hidden them of course). This approach improves usability by reducing the amount of screen space needed on mobile and smaller devices and reducing the amount of times a user needs to scroll.
